# FairFile: legally-structured, state-cited corrective action letters

FairFile turns the facts of a workplace incident into a structured, cited, state-compliant
written warning or performance improvement plan in about 3 minutes, in English or Spanish.

## What it does (mechanism, not adjectives)

- Plain-English facts in; a structured written warning out (facts, expectations,
  consequences, acknowledgment), cited to the employer's state.
- Citations are applied by FairFile from its OWN reviewed state-law dataset, never invented
  by the AI. Switch the state and the statutes change under the same incident.
- Real performance improvement plans: SMART-goal checkpoints on a timeline, with
  state-leave interactions handled as the plan builds.
- Risk protection before a costly mistake: a recent protected leave PAUSES the letter and
  recommends attorney review automatically; dangerous language is flagged and blocked
  server-side; high-risk situations route to attorney review instead of generating anyway.
- One case, not loose letters: verbal warnings, written notices, and signatures live on a
  single case timeline, so the record that matters in a dispute builds itself.

## Privacy

- Drafting runs through a third-party AI provider (currently OpenAI) via its business API:
  not used for training, deleted shortly after. Citations never come from the AI.
- Product analytics use a fixed label vocabulary; employee names and incident text never
  enter analytics. Demo text is never stored in analytics.
- Documents are stored privately to the account, exported or deleted on request. No data
  sales, no training on customer HR content, no hidden auto-renew; cancellation is one click.

- The verified state-law library covers 47 of 50 states today (3 documented exclusions: GA,
